How to Make Your Resume More ATS-Friendly

Reduce avoidable parsing problems while keeping your resume accurate and readable to people.

An ATS-friendly resume is a practical aim, not a universal certification. You want a document whose text and structure can be read sensibly and whose content is relevant to the application. You cannot guarantee identical interpretation across all employer systems.

Start with the observable document. Do not use hidden text, unsupported keywords or a manufactured “pass score” as a substitute for clear information.

Use recognizable section headings

Experience, Education and Skills are understandable defaults. A creative heading such as “My journey” may be meaningful to a person but less explicit about the content beneath it. Use the language appropriate to your application and keep the section's meaning clear.

Within each section, connect the role, employer and date information. When a candidate has multiple assignments at one employer, list the dated assignments under that employer rather than leaving dates in a disconnected column.

Prefer real text over images of text

A scanned resume may look readable to you but contain no selectable text. Export from an editable source when possible. Open the final file and try selecting and copying a sentence.

If the output loses words or produces a confused order, inspect the document structure. This test can reveal some extraction problems; it does not fully reproduce an ATS. Greenhouse documents image-based content and complex formatting among possible causes of unsuccessful parsing.

Keep the reading order straightforward

Multiple columns, text boxes, headers and footers can introduce reading-order problems depending on the system. They do not automatically make every resume unusable. The question is whether the important content is retained in a sensible sequence when extracted.

A single-column design is a conservative choice when you want to reduce layout complexity. If you choose a two-column layout, inspect the actual output and do not place essential information only in a visual element that may be missed.

Use relevant terms accurately

Read the job advert and find the requirements you genuinely meet. If an abbreviation and its full form refer to a qualification you hold, including both may help a reader. If a tool appears in the advert but you have never used it, adding it to Skills would be misleading.

Fictional example: Prepared customer-service reports in Excel.

This is more informative than a detached list of keywords if it describes the actual work. It does not establish SQL, automation or management experience. Keep your terminology aligned with your contribution.

Do not stuff keywords

Repeating a requirement in every sentence can reduce readability and make your resume sound unnatural. Invisible white text and copied blocks from an advert are not legitimate optimization. They may also create a document you cannot explain honestly in an interview.

Tailoring is better understood as selecting and clearly describing relevant evidence. It may mean removing unrelated detail rather than adding more words.

Follow the employer's file instructions

PDF and DOCX can both be accepted by hiring systems; Greenhouse supports both, among other formats. Use the requested type and check the exact file you upload. An accepted extension is not proof of a successful parse.

Review any application-form preview and correct missing fields where the employer's process permits it. Do not assume an upload has populated every field accurately just because no error appeared.

Check accuracy after an AI edit

An AI rewrite may make wording stronger while changing the meaning. Compare employers, dates, degrees, tools, responsibilities and every numeric claim against your source. A support task must not become leadership simply because the revision sounds polished.

If a tool cannot verify a factual improvement, presentation-only changes may be the safer option. Honest limitations are preferable to a convincing fictional achievement.

Interpret the score in context

An ATS readability estimate is not a universal employer score or a guarantee of selection. A checker that evaluates general readability is answering a different question from one that compares a resume with a specific job description.
