Resume PDF vs DOCX: Which Format Should You Use?
Choose a file format based on employer instructions, text readability and layout—not a universal ATS myth.
By Resunivo Editorial · Oct 20, 2026 · 4 min read
Use the file format requested by the employer. If the instructions specify DOCX, sending PDF because it looks more polished is not an improvement. If they specify PDF, sending an editable document creates an avoidable mismatch. When both are accepted, choose the version that remains accurate and readable after export.
Neither “PDF always fails ATS” nor “DOCX always works” is a reliable universal rule. Greenhouse, for example, supports multiple formats, including PDF and DOCX. Support for a file type does not mean every document using it will parse successfully.
What PDF is good at
PDF is designed to preserve a document's page presentation. Fonts, line breaks and spacing are usually more stable between devices than an editable word-processing file. That makes it useful when you want the reader to see the layout you reviewed.
But a PDF can contain selectable text, scanned images or a mixture. A photo of a resume inside a PDF is still an image; putting it in a PDF container does not create extractable text. Password protection, a damaged export or unusual text order can also cause problems.
Resunivo's Premium downloads are text-based PDFs generated from the optimized CV data. Preview and download use the same PDF output. That is a statement about Resunivo's export, not a guarantee that every employer system will interpret it identically.
What DOCX is good at
DOCX preserves editable document structure. It may be required by an employer or useful if a recruiter requests an editable version. A straightforward document can be easy to revise and inspect.
The trade-off is presentation variability. Missing fonts, different software, margins and page settings can change line breaks or page count. A file that looks tidy on your computer may not look identical elsewhere. Complex text boxes or multi-column layouts can still make reading order confusing.
Keep an editable working copy even if you send PDF. It gives you a practical way to update dates and tailor the next application without rebuilding the document from scratch.
A simple decision sequence
First, read the vacancy and upload instructions. Second, check which file types the form accepts. Third, open the exact file you intend to send. Finally, check text extraction and visual presentation.
If both formats are allowed and your PDF has clean selectable text, stable formatting may make PDF a reasonable choice. If the employer requests editing or specifically recommends Word, use DOCX. If a form's preview shows missing or misplaced fields, correct the file or the application fields rather than assuming the upload succeeded perfectly.
Test the exported file
Select a paragraph and copy it to a plain-text editor. Check whether the words, dates and employer names appear in a sensible order. Try opening the document on another device or application where feasible. These checks reveal some problems but do not reproduce every applicant tracking system.
- Do not send an image-only scan when a text document is possible.
- Keep contact details as text, not only icons or pictures.
- Avoid hidden keyword text and repeated keyword lists.
- Remove comments, tracked changes and outdated alternate content.
- Use a sensible filename without unnecessary personal information.
Watch the page count
A Word file may flow differently when another reader opens it. A PDF may preserve a blank second page that you did not notice in the editor. Review every page after export and make sure headings are not stranded away from their content.
Do not solve a format problem by shrinking the type until the document is uncomfortable to read. Reduce irrelevant content or choose a clearer layout instead. Resume length is a relevance question, not just a file-format question.
What Resunivo can and cannot check
The free checker accepts PDF and DOCX up to 10 MB. The file is read locally in your browser and extracted text is sent for analysis. A local DOCX visual preview may differ from Word. A file that cannot provide enough readable text may not be analyzable.
Check your resume for free before deciding what to revise. If you choose Premium, the optimized document is provided as PDF in Classic, Editorial and Minimal—not as a DOCX builder.
